Before requesting proposals
Your notes support an initial conversation. They do not establish feasibility, engineering, approval, service locations or a construction method.
Mark the proposed position, approximate water area, depth needs, setbacks to buildings and boundaries, and any space needed for surrounds, equipment or future access. Treat the sketch as a brief, not an approval drawing.
Record driveway width, side access, overhead constraints, retaining walls, trees, neighbouring property and where excavated material or machinery could move. Ask each provider to explain its access assumptions.
Describe who will use the pool, preferred activities, accessibility needs, heating expectations, maintenance preferences and features that are essential rather than optional.
Note buildings, easements, drainage paths, slopes, visible services, landscaping and structures that may need protection, investigation or coordination.
Property-specific checks
Feasibility, authority, utility, access and safety questions need property-specific answers before a start date is agreed.
Ask what site investigation is required for soil, groundwater, stormwater, underground assets and structural interfaces. Available plans are a starting point and do not establish exact onsite conditions.
Check the exact address and proposed scope with the responsible council or certifier. Also check easements, covenants, heritage, strata, tenancy and other property controls where relevant.
Treat the pool barrier, gates and any inspection or certification pathway as a separate address-specific safety scope. Do not assume a pool-shell proposal includes or establishes barrier compliance.
Plan machinery access, temporary protection, noise, deliveries, excavation handling and any access over another property. Put permissions and reinstatement responsibilities in writing.
Ask who assesses retaining walls, footings, nearby buildings, significant vegetation and any demolition or relocation work before excavation begins.
Identify electrical, plumbing, gas, drainage and communications interfaces. Confirm who designs, performs, checks and records each specialist part of the work.
System comparison
A broad pool-type label does not define the structure, equipment, site work, surrounds or handover. Ask each provider to specify the complete proposed system.
Ask for the proposed construction system, dimensions, structural assumptions, internal finish, penetrations, steps, benches and the process for approving design changes.
Compare pump, filtration, sanitisation, pipework, skimmers, returns, equipment location, noise considerations, access for maintenance and commissioning responsibilities.
Identify lighting, bonding, equipment supply, controls, heating interfaces and every task that needs an appropriately qualified specialist under the rules applying to the property.
Separate coping, paving, decking, expansion joints, falls, surface drainage, landscaping and retaining work. Ask how interfaces and water movement are handled.
Sketch options before the site visit
The Pool Planner can create a rough yard sketch with fixed rectangular templates. It does not assess feasibility, approvals, barriers, engineering or actual site conditions, and its estimate is not a quote.

A total is difficult to compare when excavation, structure, equipment, surrounds, approvals or handover differ. Ask for itemised scope and written exclusions.
Pool type, dimensions, depth, location, drawings, engineering responsibility and the assumptions that still need site or authority confirmation.
Access, excavation, spoil handling, dewatering assumptions, ground conditions, protection, temporary works and reinstatement.
Structure or shell, finish, hydraulics, equipment, lighting, controls, heating readiness and named product substitutions.
Barrier interfaces, coping, surrounds, drainage, retaining, landscaping and work by other contractors, each clearly included or excluded.
Responsibility for applications, inspections, certificates, manuals, warranties, test results and records required at handover.
Startup, water treatment, operating instructions, defect checks, cleanup, maintenance responsibilities and the written process for variations.
Provider due diligence
Requirements vary by jurisdiction and scope. Check the contracting entity, credentials, insurance and specialist responsibilities before hiring.
Confirm the legal entity, ABN, contact details and who will sign the contract and receive payment.
Check the licence, registration or specialist credential required for the actual work and location using the responsible authority. Marketplace eligibility is not proof of those credentials.
Ask what insurance applies to the proposed work and request current evidence before authorising access or construction.
Ask for completed examples with comparable access, construction system, ground conditions and surrounding works, then verify the provider actually delivered that scope.
Ask who designs, supervises and performs each trade, how specialist contractors are coordinated and who remains responsible for the complete contract.
Require scope, material, access and site-condition changes to be documented and agreed before changed work proceeds.
